Position Summary:   The Managing Administrative Assistant will be responsible for coordinating all managerial and administrative aspects required by the Office of the VP in the Division of Global Learning & Partnerships (Rowan Global), as well as exercising professional and discretionary judgment while maintaining the confidentiality of sensitive material. 

Responsibilities include:

  • Scheduling and maintaining VP calendars
  • Monitor incoming mail, e-mail and telephone calls to insure issues are dealt with in timely & efficient manner as well as greeting visitors on Campus
  • Function as primary liaison between the Office of Rowan Global VP and other campus constituents
  • Monitors the signing processes and maintains the appropriate records of contracts & initiatives pertinent to services provided and/or purchased by Rowan Global
  • Create, organize and maintain records and files as needed
  • Make administrative preparations for VP meetings including location, invitations and catering services when needed
  • Coordinate travel arrangements as necessary
  • Review Web Time entries
  • Process and maintain records of Rowan Global memberships and subscriptions
  • Manage Rowan Global leave requests
  • Manage conference rooms reservations
  • Manage purchasing of VP supplies and Rowan Global stationary & business cards
  • Manage financial matters through Banner Finance to assist the VP on issues like: budget preparations, budget transfers, credit card requests, expense reports, etc
  • Perform other duties as may be required by the position to maintain overall efficiency of the Office of the VP of Rowan Global

Education

Associate’s Degree is required.  Bachelor’s preferred.

Experience

A minimum of three (3) years of administrative experience including responsibility for office management is required.

The successful candidate will be professional; dependable; efficient; a team player; capable of taking initiative & working unsupervised; a multi-tasker; have integrity; excellent communication skills; a practical knowledge of office administration in a professional environment and policies and procedure application; demonstrated organization and administrative skills; proficient Microsoft Office Suite, including Outlook, Word, and Excel.

The report also contains information about fire statistics in Rowan University Residential Facilities and crime statistics for the three previous calendar years concerning reported crimes that occurred on campus; in certain off-campus buildings or property owned or controlled by the University; and on public property within, or immediately adjacent to and accessible from the campus. This information is required by federal law, Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act or "Clery Act" and is provided by the Rowan University Department of Public Safety.
