Position Summary:

  • Holly Pointe Commons is a privatized housing facility operated on the Rowan University campus for the benefit of Rowan students. The management agreement between Rowan University, Provident Rowan Properties LLC, and University Student Living LLC (USL) is structured in a manner that provides for numerous services provided by University staff in support of the successful operation of the building and creation of a seamless experience for Rowan students. These services are performed by Rowan staff with blended responsibilities for Holly Pointe Commons residents and well as other residents within the University housing portfolio. Given this structure, the coordinator may be assigned blended responsibilities compatible with their role within the overall housing system at Rowan University, with a primary emphasis being placed upon supporting the integration of Holly Pointe Commons into the University housing system.
  • Reporting to the Assistant Director of Housing Systems and Logistics, the Coordinator of Housing Systems and Logistics supports the overall effectiveness of the Housing Systems and Logistics functional area of Residential Learning and University Housing (RLUH). The coordinator serves as a liaison between USL, RLUH staff, and students as well as parents. The coordinator is responsible for coordination of Holly Pointe Commons operations and parallel processes within the University housing portfolio. This includes coordination of Holly Pointe Commons integration into campus-wide move-in and move-out processes; advising and assisting students with concerns regarding maintenance and housekeeping concerns and relaying appropriate information to USL; resolving complaints and assuring timely and professional responses; training, coaching and developing graduate students, student staff and new professionals in the areas of housing systems and logistics; coordinating the Room Condition Report process and damage billing; and other duties as assigned.

Functional Areas of Responsibility:

  • Liaise with Holly Pointe Commons property management (USL)
  • Coordination of move-in and move-out processes between the University and USL, along with other building operations
  • Serve as a principal point of contact for students/parents related to maintenance and housekeeping concerns
  • Supervision of student employees providing customer service to resident students

Essential Duties and Responsibilities:

  • Provide excellent customer service by serving as a first point of contact for students and parents regarding concerns, working to resolve problems and assure timely and professional responses.
  • Select, train and directly supervise student workers as assigned to assure a high degree of service to students.
  • Provide training and ongoing coaching and support to graduate student employees to develop their skills and knowledge as new professionals in the field of university housing.
  • Support the Assistant Director and Director by serving as a liaison to University Student Living for Holly Pointe Commons related operations.
  • Daily monitoring of the campus’ online work order database, utilizing Operations Assistants to aid in investigation and identification of high priority concerns. Assign work orders daily to appropriate parties for timely action and resolution.
  • Provide personal response to student and parent concerns for maintenance issues having complex, sensitive, or high profile characteristics, requiring a higher level of customer service. Assist with communication to students and parents and coordination of scheduling repairs that may disrupt daily living within a resident space.
  • Regularly walk residential facilities, observing the condition to assure service expectations are being met for Rowan students and to confirm that Operations Assistants are completing assigned tasks.
  • Submitting work orders when needed.
  • Assist housekeeping supervisors with conducting inspections during various times of the year, such as summer and winter break, when there is a higher demand on the supervisors to complete inspections.
  • Coordinate health and safety inspections and fireproofing affidavit process; scheduling, training, maintaining documents, and student fine appeals.
  • Coordinate deliveries and service calls related to MicroFridges and other campus vendors.
  • Coordinate policies/procedures related to keys and card access. Supervise the distribution and the collection of all keys (including master keys) and access rights to residents and staff.
  • Communicate timely information to all buildings regarding recent fire alarm activation causes.
  • Assist with the coordination of the State Fire Marshal inspections schedule and communication to residents.
  • Coordinate all van and golf cart training for professional, graduate and student departmental staff members.
  • Complete other duties as assigned.

Required Education:

  • A Bachelor's degree from an accredited college or university.

Preferred Education:

  • A Master's degree in Student Personnel, Counseling, Higher Education Administration/Student Affairs, Public Administration, MBA or a related discipline.

Required Experience:

  • One (1) year of related or transferable professional experience in work related to college/university facilities, maintenance or housekeeping. Experience with work order databases, maintenance and operations functions, and door access systems.

Preferred Qualifications:

  • Experience within a university housing environment is strongly preferred.
  • Direct experience with School Dude, Adirondack THD, and RS2 door access system.
  • Experience working with privatized housing partners in relation to a University housing system.

Skills and Abilities:

  • Understanding of housekeeping functions, facilities and maintenance processes, and knowledge of standards and best practices related to housekeeping and maintenance of university residential facilities.
  • Ability to work in a stressful environment with great attention to detail.
  • Strong analytical and organization skills.
  • Excellent interpersonal, cultural/intercultural, and community relations skills to include the ability to communicate effectively and interact tactfully with all levels of university students, staff, and faculty, as well as parents.
  • Excellent supervision, presentation, teaching, and training skills.
  • Strong problem solving and conflict resolution skills and the ability to apply data and analysis to the formulation of proposals and solutions.
  • Energy, creativity, tolerance for ambiguity, and ability to work flexible/odd hours as needed.
  • Ability to work within a group with a strong team orientation.
  • Ability to foster and maintain collaborative working relationships.
  • Sensitivity to and ability to work with students, faculty, and staff of diverse backgrounds and respond effective to the most sensitive of complaints.
  • Ability to read, analyze, and interpret documents, budgets and contracts.
  • Supervisory skills appropriate to supervision of paraprofessional staff.
  • Proficiency in use of technology to carry out electronic communication and develop both printed and electronic documents using computers and the Internet.
  • Experience with Windows or Macintosh system software, Microsoft Office (Excel, Microsoft Word, Power Point), Outlook and other e-mail software.
  • Proficiency in School Dude and RS2 preferred.
