SUMMARY:

Under direction of the Director of Administration, performs a wide variety of administrative services within the Department of Geriatrics & Gerontology & the New Jersey Institute for Successful Aging to assist with achieving the tripartite mission of clinical services, education and research. Serves as confidential assistant to the Director of Administration.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Functions as the initial contact for the Director of Administration in a professional and confidential manner; provides routine information and handles messages and visitors appropriately.

Assists Director of Administration with all administrative aspects of clinical practice including monitoring scheduling percentages, coverage schedules, special clinical programming, patient and provider experience/satisfaction, and advertising; provides investigation and responses to Director on these matters as needed.

Assists Director with analyzing and organizing clinical office procedures and workflow of the clinical office; recommends improvements where necessary.

Assists Director of Administration with the administrative aspects of oversight of clinical quality programs including ACO, APM, MIPS, etc; serves as Network Practice Coordinator (NPC) for corresponding programs. 

Prepares departmental reports from Centricity IDX and other software programs to gather information for analyzing as requested by Director of Administration.

Prepares form letters and clinical practice security and onboarding forms for review and approval by Director; assists in semi-annual updates of clinical schedules and EMR forms.

Assists Director with orienting all new staff members to the clinical practice operations. 

Serves as principal liaison between departmental staff & faculty and Director of Administration.  Assists Director in providing timely follow-up of problems, suggestions and questions; maintains a log and documentation of same.

Interacts with CBO, Managed Care, Faculty Affairs, IT, and other University Departments when necessary to fulfill job assignments.

Assists Lead CMA & Director of Administration with clinical office supply inventory tracking and management include vaccines and equipment maintenance management.   

Attends monthly faculty operations meetings when necessary.  

Represents Director of Administration at meetings when appropriate; responsible for all special projects as assigned by Director.

Understands and adheres to Rowan compliance standards as they appear in the Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.

Keeps abreast of all federal, state and Rowan University regulations, laws and policies as they presently exist and as they change or are modified.

Performs other duties as assigned.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE

Two (2) to Five (5) years of administrative or clinical office support experience in academic medicine working with faculty and staff. Coursework toward Bachelor’s Degree in Business or Healthcare desired. Knowledge of clinical workflows and clinical systems for scheduling and charting (EMR) strongly preferred. Experience in clinical office support role such as medical assistant highly desired. Experience with the geriatric patient population a plus. Must be proficient in Microsoft Word, Excel, Power Point, Centricity IDX & EMR, teleconferencing applications, and Internet Explorer. Must have excellent investigative, communication and writing skills in order to independently take specific assignments from beginning to end. Experience multi-tasking in fast pace environment desired. Must be able to maintain confidentiality and successfully collaborate with all levels of an organization to achieve goals.
