Clerk Typist (Part-Time), Office of Proposal Development

Summary:

  • The Clerk Typist serves as the assistant to the Manager of the Office of Proposal Development (OPD). The Office of Proposal Development is a constituent office of the Division of University Research. This position will work with the Office of Sponsored Programs, Office of Technology Commercialization, Office of Research Compliance, and Rowan Innovations.

Essential Duties and Responsibilities: 

  • Oversee clerical activities in the Office of Proposal Development. Collaborate regularly with OPD leadership to effectively manage the daily activities of the Office. Manage and maintain essential office files.
  • Schedule internal and external appointments for the Manager, including regular meetings to visit key constituents. Maintain a demanding and fluctuating daily calendar for the Manager using Microsoft Outlook. Collaborate regularly with administrative staff in the Division of University Research, Division of University Advancement, and all other relevant offices to arrange meetings with faculty, staff members, university leadership, and external partners.
  • Schedule, confirm and coordinate meetings for the Manager for regular meetings with faculty members drafting proposals. Work with the other clerical and support staff to record, transcribe and distribute minutes of these meetings as necessary.
  • Prepare special reports, agendas and transcribe minutes as needed for the Manager.
  • Collaborate with the Office of Human Resources on personnel matters, including tasks associated with the hiring of new employees.
  • Attend regular meetings with the Division's clerical and support staff, and identify administrative and workflow issues and make recommendations for solutions.
  • Draft correspondence for the Manager, when necessary.
  • Process and maintain budget records for the Manager including the preparation of requisitions and ordering of supplies.
  • Input funding prospect information in SPIN and Google Drive databases, as assigned.
  • Other related duties as assigned. 

Preferred Qualifications:

  • Previous clerical experience working for an executive
  • Strong computer and internet research skills
  • Excellent interpersonal skills, project coordination experience and ability to work well with all levels of faculty, students, staff, and college/university leadership
  • Ability to work under pressure at times to handle a wide variety of activities and confidential matters with discretion
  • Ability to provide quality customer service

Requirement:​​​​

  • Candidates will be required to take and pass a typing test at 40 wpm or higher or show proof of passing a NJ Civil Service Commission test or Rowan University typing test in the past. The test will only be scheduled for candidates selected for interview. 

Hours:

  • This is a part-time position of 25 hours per week. Exact schedule to be determined based on organization needs at the time of hire. 

Salary:

  • Range A06
  • Salary is prorated based on 25-hour work week (Minimum = $19,947)

The report also contains information about fire statistics in Rowan University Residential Facilities and crime statistics for the three previous calendar years concerning reported crimes that occurred on campus; in certain off-campus buildings or property owned or controlled by the University; and on public property within, or immediately adjacent to and accessible from the campus. This information is required by federal law, Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act or "Clery Act" and is provided by the Rowan University Department of Public Safety.
