Managing Administrative Assistant

Division of Diversity, Equity and Inclusion

 

Position Summary:  The Managing Administrative Assistant Position will be housed in the new Division of Diversity, Equity and Inclusion (DEI). The DEI will support the Title IX Office, Faculty Center, Social Justice, Inclusion and Conflict Resolution Center, the Achieving Success through Collaboration, Engagement, and Determination (ASCEND) and the Creating Higher Aspiration and Motivation Project (CHAMP) student support programs.

The Managing Administrative Assistant will be responsible for coordinating all managerial and administrative aspects for the Senior Vice President of Diversity, Equity and Inclusion, as well as exercising professional and discretionary judgment while maintaining the confidentiality of sensitive material. 

Responsibilities include:

  • Function as primary liaison between the Division of Senior VP of Diversity, Equity and Inclusion, campus, and external constituents
  • Monitor incoming mail, e-mail and telephone calls to insure issues are dealt with in timely & efficient manner as well as greeting visitors on campus
  • Monitor and maintain the Departmental budget using Banner.  Prepare requisitions and process direct payments
  • Scheduling and maintaining calendar for Senior VP of Diversity, Equity and Inclusion
  • Coordinate, prioritize and maintain work flow
  • Review incoming interoffice & outside mail and process accordingly
  • Create and maintain records as needed
  • Organize and maintain files
  • Draft correspondence, memos, etc. for the Division
  • Assist in the preparation, dissemination, coordination and filing of financial reports as necessary
  • Maintain contacts for the Division of Diversity, Equity and Inclusion
  • Make administrative preparations for all meetings, including location, invitations and refreshment and meals as needed
  • Coordinate travel arrangements as necessary
  • Perform other duties as may be required by the position to maintain overall efficiency of the Office of Senior VP of Diversity, Equity and Inclusion

Education

Bachelor’s Degree or equivalent position related experience is preferred. 

Experience and Qualifications

  • Minimum of five years of administrative experience including responsibility for office management
  • Demonstrated commitment to enacting social justice and equity
  • Understanding of diversity and experience working with diverse populations
  • Excellent communication skills
  • Ability to develop complex reports
  • Ability to take initiative and be self-directed
  • Excellent organization skills
  • Excellent administrative skills
  • Ability to manage multiple projects
  • Advanced knowledge of Microsoft Office Suite preferred
  • Banner experience a plus

This information is required by federal law, Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act or "Clery Act" and is provided by the Rowan University Department of Public Safety.
