Description:

  • Reporting to the Department Head for the Department of Chemistry and Biochemistry, this position shall provide departmental secretarial support.
  • The position requires strong communication skills and the ability to remain highly organized while working in a high-pace work environment.

Primary Duties:

  • Acts to relieve the Department Head of detail by providing information to department personnel, other academic and non-academic departments, students, and the general public that require a comprehensive knowledge of department programs, functions, and procedures. Serves as an effective and professional initial contact between the Department and people who visit or contact the Department.
  • Takes and transcribes minutes at official department meetings and retreats; makes these available to the department in a timely fashion.
  • Assists the Department Head with class scheduling, establishing master schedule for each semester and following through with adjustments, additions, and deletions; ensures that these changes are prepared and processed through the appropriate offices in a timely manner.
  • Prepares and processes the contract information necessary to have adjunct faculty, faculty overload, part-time personnel, graduate students, and student workers paid appropriately. Observes all Department and University policies and procedures relating to contracts, timesheets, and related information.
  • Ensures timely and correct completion of travel request documents and/or travel reimbursement documents for faculty, staff, or students.
  • Assists Department Head with all budget-related tasks, including placing orders from general department budget, transferring funds, and maintaining accurate records using BANNER.
  • Assists faculty with textbook orders.
  • Performs other related duties as required.

Required Experience:

  • Three (3) years of experience in secretarial and administrative clerical work.
  • NOTE: Successful completion of a clerical training program with a minimum of 700 classroom training hours or 30 semester hour credits in secretarial science from an accredited college or university may be substituted for one (1) year of the experience indicated above. Course work must include typing skills, methods, and procedures; other courses may include, but not be limited to, office procedures, word processing, and business English.

Eligibility and Consideration:

  • This position is currently available as a provisional promotional opportunity to current Rowan employees with one year of continuous permanent service in the Principal Clerk Typist title as of the closing date of this announcement and who meet the minimum qualifications as stated above.

This information is required by federal law, Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act or "Clery Act" and is provided by the Rowan University Department of Public Safety.
