Rowan University is subject to the residency requirements of the NJ First Act (N.J.S.A. 52:14-7, P.L. 2011, Chapter 70). Any person hired to a non-exempt position shall either have their principal residence in New Jersey or have one (1) year from the date of employment to establish, and then maintain, principal residence in the State of New Jersey. Clerk Typist, Department of Management

Summary:

The Department of Management is seeking a full-time Clerk Typist to provide direct office support to the Department Chairperson and serve as the first point of contact for students, faculty, college personnel, prospective students, and their parents. The department has over fifteen full-time faculty members, offers two significant undergraduate degree programs, and plays an important role in graduate programs as well. This position plays an integral role in ensuring efficiency, accuracy, and professionalism in the daily operations of the department. Possession of excellent organizational and interpersonal skills is necessary. In addition, the successful candidate must have knowledge of the Microsoft Office Suite, including Excel and mail merge functions, as well as knowledge of electronic filing of routine office documents.

Duties & Responsibilities:

  • Perform clerical duties as delegated by the Department Chairperson, assuming and performing duties in his or her absence
  • Manage department operating budget, Global and Foundation funds and support all relevant budget activities 
  • Perform budget analysis, monitoring, and processing of all invoices and expenditures associated with Operation Fund for the Management and Entrepreneurship Department
  • Support purchasing operations for department and faculty grants (obtaining quotes, purchase orders, requisitions, sole source justification, etc.)
  • Support IRT purchases, working knowledge of Technology (hardware and software) approval and purchase process
  • Coordinate select activities with OSP for Budget Transfers, DCA, etc. for faculty grants
  • Coordinate and communicate effectively with Human Resources Office, the Provost Office, Payroll, Accounts Payable and Budget Departments along with Office of Sponsored Programs
  • Support faculty and staff with duplicating and office supply needs
  • Assist faculty in submitting textbook orders in a timely manner
  • Support department promotional materials printing via the University Print Shop and the University Publications Department
  • Assist with undergraduate student hiring (FWS, department funded, grant-funded)
  • Perform oversight of timesheets and salary payments for student workers
  • Support travel and reimbursement processes for faculty, staff, and students
  • Ensure timely and correct completion of travel request documents and travel expense vouchers for reimbursement for faculty, staff, and students
  • Train and supervise undergraduate students assisting the department
  • Assign advisors and mentors to undergraduate students using Banner
  • Maintain department records for students, faculty, and staff as needed
  • Maintain a thorough and systemized electronic filing system that can be readily accessed by the Chair and faculty when they require specific information regarding the department. 
  • Coordinate and implement office work including; Maintenance repairs using the Rowan Works System; Ordering and Tracking Office Supplies; and Maintaining office equipment
  • Assist with open house orders
  • Assist with catering orders for department events (Gourmet Dining Online Catering)
  • Assist with conference room and others via 25Live
  • Assist in coordinating department advisory board meetings
  • Process miscellaneous forms such as building, lab, parking access, etc.
  • Apply working knowledge of hiring process and documentation for full-time faculty and adjuncts
  • Process faculty Special Assignment Contracts, PT hourly & Student Assignment Contracts
  • Prepare SCAFs as needed
  • Interview, hire and supervise student workers. Prepare contracts, supervise timesheets, schedules, and workload. Allocate clerical, laboratory, and computer data duties to student workers
  • Serve as contact person and liaison on administrative and academic matters for the department. Interact and assist students daily with any questions or concerns
  • Coordinate housekeeping needs and maintenance repairs using the Rowan Works System
  • Use RIMS to update faculty, staff changes on an ongoing basis
  • Monitor installation and billing of phones as needed
  • Apply working knowledge of contracting for specialized vendor contracts
  • Support faculty and staff searches
  • Monitor departmental folders on Open Area
  • Maintain department bulletin boards
  • Perform other related duties as assigned

Requirement:​​​​

  • Candidates will be required to take and pass a typing test at 25 wpm or higher or show proof of passing a NJ Civil Service Commission or Rowan University typing test in the past. The test will only be scheduled for candidates selected for interview. 

Salary:

  • A06 ($29,635-$33,432)
