Job Title:         Administrative Assistant (Secretary 1 Confidential)

Department:    Virtua Health College

Facility:            Rowan Virtua School of Osteopathic Medicine

Reports to:       CAO/Senior Associate Dean and the Manager of Administration

 

SUMMARY

Provides confidential, administrative and management support to the Chief Administrative Officer (VHC)/Senior Associate Dean and the Manager for Administration for the Dean’s Office. Coordinates operations including schedules, office operations, workflows and internal and external communication. Serves as a liaison to Virtua Health and other external partners. Assists with procurement, facilities scheduling and management. Develops and implements processes that are efficient and accurate.

ESSENTIAL DUTIES

  • Serves as principal liaison with various administrative, clinical and educational departments for matters related to Virtua Health College and the Rowan Virtua SOM facilities.
  • Assists with the facilitation of meetings, reports and data collection related to Virtua Health College.
  • Serves as a liaison for other departments including Human Resources, Payroll, Finance and Procurement. Proxy, as needed, for time records, P-Card and Concur.
  • Responsible for having a thorough knowledge of departmental operations; exercises professional judgement and discretion when preparing reports and answering correspondence.
  • Responsible for campus events scheduling in 25 Live System. Manages efficiently and exercises judgement and tact when resolving scheduling issues.
  • Responsible for purchase orders, check requests, travel reimbursements, etc. and interfaces with Accounts Payable and Budget. Manages requests for Rowan-Virtua School of Osteopathic Medicine, Virtua Health College, Nursing and Research, as needed.
  • Maintains appointment calendars, establishes priorities and scheduling requests at own discretion. Applies informed, independent judgement to help manage time and prioritize workflow. Collaborates with administrative staff at Virtua to schedule and facilitate joint meetings.
  • Composes correspondence, as needed; creates and maintains databases and spreadsheets, as required.
  • Provides support for routine and confidential/sensitive meetings of task forces and committees including taking minutes, if requested.
  • Provides support for other leaders within the Office of the Vice Chancellor when requested.
  • Understands and adheres to Rowan’s compliance standards, policies and procedures.
  • Performs other duties as required.

QUALIFICATIONS

Individual must be able to perform each essential duty satisfactorily. Healthcare and/or higher education experience preferred. Bachelor’s degree in Business Administration, Finance or a related field highly preferred. A minimum of 2-years' experience in a similar position required.

SALARY

  • In compliance with The State of New Jersey's Pay Transparency Act, the salary range for this position is $25.02 to $34.23 per hour, with placement within the range determined by candidate's qualifications, professional experience, internal equity, and other factors.
