SUMMARY

Primarily provides student services to all graduate students. Provides student services to research-minded medical students. Provides administrative and program support to the Senior Associate Dean of GSBS and Research, the GSBS Director, the GSBS Program Directors, the Research Administrative Analyst, and the Research Program Administrator/Grant Writer.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Coordinate work study peer tutoring program.  Identify highly qualified enrolled peer tutors and match with them students in need of tutoring services (tutees). Oversee recruitment hiring and training process of tutors. Maintain GSBS Tutoring Blackboard Course for tutors and tutees. Verify and maintain pay records for student workers and collaborate with the Financial Aid office to ensure proper use of Federal Work Study funding.

Monitor unsatisfactory academic progress with the GSBS Director at the end of each semester.  Generate appropriate letters in a timely manner to inform students of unsatisfactory academic progress and letters of congratulation to students who reestablish satisfactory academic progress.  Coordinate appointments for GSBS Director and/or Program Director for all students not making good academic progress. 

Execute assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, database maintenance, and forms and graphics generation utilizing a variety of software packages, including Microsoft Office, Cognos Query Studio and Tableau.

Oversee student enrollment records. Use reports to inactivate students who are administratively withdrawn from GSBS or have been approved for a leave of absence.

Manage GSBS marketing needs with the RowanSOM marketing department and GSBS committees to recreate, update and improve marketing materials and strategies. Also use social media to communicate information to current and prospective students and external audience.

Schedule GSBS attendance at both internal and external recruiting events including schedule creation, registration and attendance.

Manage and maintain GSBS and SOM Research website using HTML, Dreamweaver, Photoshop, Acrobat Pro, Bootstrap, WAMP, and CSS. Create content that improves overall web SEO. Must understand and apply Section 508 of the Americans with Disabilities Act for web compatibility.

Assist graduate students in day-to-day interactions with an understanding to their various cultural and ethnic backgrounds.

Echo360 recording coordinator works with academic technology personnel to schedule recorded lectures into Blackboard learning system for all GSBS courses.

Oversee the implementation of TracDat and Starfish on the GSBS campus. Attend meetings and trainings to assist roll-out and full faculty adoption of these new software packages.

Undertake routine writing and editing assignments; generates correspondence for signature; maintains mailing lists.

Serve as principal liaison between the department and other administrative units such as Marketing, Media, Academic Technology, Registrar, Financial Aid, and Information Services and Technology.

Coordinates and maintains the department calendar. Exercising discretion, applies informed independent judgment to help manage the Senior Associate Dean and Director’s time.

Support Office of Research Administration with Annual Research Day, Summer Medical Research Fellowship (SMRF) Program and other research-related events and symposia. Use a variety of platforms including Attendify.

ExamSoft coordinator creates, edits, and posts exams online as well as generates grade reports once exams are complete.

Maintain and update GSBS alumni database. Collect alumni information and coordinate with Advancement Services email campaigns to solicit alumni data updates.

Understands and adheres to Rowan University’s compliance standards as they appear in Rowan University’s Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.

Performs other duties as assigned.

EDUCATION and/or EXPERIENCE

Bachelor of Science Degree, plus three (3) years of related experience in a university setting required. Expertise in Microsoft Office (Word, Excel, and PowerPoint) is required. Knowledge of Banner, Cognos, Dreamweaver, HTML and Tableau is highly recommended.
