Department: Department of Nursing Rowan-Virtua Rita & Larry Salva School of Nursing and Health Professions. This position is located in Stratford, NJ.

Description:  Under the supervision of the Administrator of the Department, completes general office tasks, which include but is not limited to receptionist duties, data entry, copying, and filing, on-campus errands relating to program operations, and assisting the Administrator of the Department with other tasks and projects and necessary.

  • Maintains and manages student academic files.
  • Assists all programs with database updates as needed, including basic processing and creation of application files.
  • Completes general office tasks, which include but is not limited to receptionist duties, data entry, copying, filing, and on-campus errands relating to program operations.
  • Screens and responds to all incoming telephone calls for all programs and forwards them when appropriate.
  • Arrange meetings, schedules, and conferences and keep minutes and records.
  • Receives and distributes mail.
  • Compose correspondence, letters, reports, memos, and course material as requested.
  • Arrange meetings.
  • Assist with accreditation gathering materials.
  • Assist with planning functions such as Monthly Committee of the Whole meetings.
  • Help organize and coordinate Department recruiting events, annual retreat, Pinning.
  • Contribute to department, College, and/or University goals by performing related duties or special projects as required.
  • Provide secretarial tasks for faculty adjuncts.
  • Collect all book orders and submit per semesters as well as order desk copies for Undergraduate faculty and adjuncts.
  • Create electronic files from the paper files.
  • Perform other tasks as assigned.

Qualifications:  

  • Proficient in Microsoft 365 (Word, Excel, Access, Power Point, etc)
  • Ability to complete mail merges for address labels, mailings, labels, etc
  • Ability to multi-task various projects throughout the day.
  • Prior use of Banner within a college environment.

Education Requirement:

Preferred skills include a background in customer service: strong interpersonal, written and oral communication skills; superior organizational skills and experience organizing data; meticulous attention to detail; familiarity with the nursing program; working experience with Banner; Microsoft Office Suite especially Outlook and Excel; initiative and reliability.

Justification:

Program enrollment requires assistance with clerical functions of student record keeping, dates entry and maintenance of data bases relating to student requirements, copying, filing and other duties relating to all Programs operations.

Hours:

This temporary, part-time position is assigned no more than twenty-five (25) hours per week and is not to exceed 944 hours per fiscal year. Work is contracted annually to coincide with the fiscal year and is contingent upon budget appropriate.
