TITLE: Assistant Director Recruitment and Outreach (PA Program)

DEPARTMENT: School of Osteopathic Medicine – Admissions

REPORTS TO: Assistant Dean for Admissions

 

POSITION SUMMARY: The Assistant Director of Recruitment and Outreach reporting to the Assistant Dean of Admissions develops recruitment strategies and assists Admissions Office with strategic implementation of recruitment activities by identifying strong recruitment territories and developing and executing recruitment initiatives. This position will oversee student recruitment initiatives which include; presentations to groups, managing the student recruitment calendar for pre-med fairs, email campaigns, social media mediums and developing new ways to use technology to market Rowan-Virtua SOM. The Assistant Director will work with marketing staff, university personnel and third-party organizations to continue high quality, mission-related candidates applying to medical school through strategic recruitment. The position will also work with mission-related high school and college students to provide programming that will enable and motivate the young students to engage in STEM education with the goal of entering medical school. The Assistant Director of Recruitment and Outreach provides support for meeting enrollment goals. The Assistant Director of Recruitment and Outreach must have strong written and oral communication and project management skills, be an effective team player, and excellent organizer to handle multiple tasks.

 

The Assistant Director of Recruitment and Outreach is a critical role within the development of the new Physician Assistant Program and will collaborate with the PA Program Director, PA Program Faculty, PA Program Assistant, SOM Admissions team, and the PA admissions committee to ensure a smooth and effective admissions process.

 

General Duties & Responsibilities

· Supervises the activities of admissions recruiter. Recommends the hiring, firing, promoting, demoting, merit increases, transfers and/or disciplining of employees and other personnel changes.

· Travel to and present at recruiting events, including many weekends.

· Significant interpersonal communication with prospective students face to face, over the phone and through e-mail to advise them about the admission process.

· Meet with prospective students and present programs.

· Provide ongoing communication to prospective students and applicants and record engagements.

· Develops and manage relationships with colleges and pre-health advisors, and professional organizations to promote referral of prospective students.

· Prepare records and maintains files on activities relating to recruiting and admissions

· Review admissions applications and recommend action.

· Process student applications including communication, scheduling and participating interviews, arrange faculty contacts, and manage all incoming supporting documents.

· Answer phones and respond to initial student inquiries.

· Plan, implement, and track registrations for recruiting events.

· Monitors recruitment initiatives and develops accurate applicant and inquiry reports on a regular basis to determine recruitment program effectiveness.

· Perform various administrative tasks, such as maintaining logs and other records of activities, preparing reports, scheduling travel and the like.

· Assists with the organization of on-campus events such as open houses, prospective student information programs, orientation programs, virtual recruitment fairs and campus tours.

· Collaborates with colleagues in a professional manner to provide advice and feedback necessary to plan and develop on-campus recruitment programs.

· Evaluate candidates’ entry-level qualifications, and completion of prerequisites to determine their suitability for the PA program.

· Contribute information from the application process in reports to the PA admissions committee.

· Assist in scheduling admissions interviews and facilitate all communication of admissions decisions to candidates.

· Perform basic data input and information retrieval tasks using automated admissions records system.

· Manage the Social Media sites for the Admissions Office.

· Maintain records of recruitment, communications, and admissions activities, ensuring all processes comply with university policies and accreditation standards.

· Work closely with the PA Program Director and the PA Program faculty and staff to ensure seamless coordination of the admissions process.

· Act as a liaison between the PA program and prospective students, addressing questions and providing support throughout the admissions process.

· Represent the PA program in a knowledgeable and professional manner when conducting essential tasks and duties.

· Develops and maintain tools that build consistent engagement with prospective students, applicants and admitted students.

· Reviews applications and credentials of applicants to and recommends for interview in accordance to admissions procedures.

· Assist in the continuous improvement of recruitment and admissions strategies in alignment with the program’s goals and objectives.

· Maintain confidentiality of all applicant information and admissions data.

· Stay up-to-date with relevant regulations, laws, policies, procedures, and accreditation standards, at the corresponding federal, state, institutional, and ARC-PA levels.

· Performs other related duties as assigned.

 

Required Qualifications

Bachelor’s degree required with prior admissions, higher education, marketing or recruiting experience desirable.

· Serve as positive and enthusiastic ambassador of the new PA program part of the School of Osteopathic Medicine.

· Able to travel extensively.

· Able to work Saturdays and weekends as required with one day off during the week.

· Able to deal effectively with prospective medical, college and high school students and their families, requiring group speaking, individual interviewing/advising and customer service skills

· Strong customer service skills combined with a strong work ethic and a self-motivated approach toward achieving consistent results.

· Good understanding of the educational goals, mission, and applicable accreditation standards of the PA program.

· Strong interpersonal and communication skills, with the ability to effectively interact with prospective students and internal stakeholders.

· Must have the ability to analyze application materials and make data-driven recommendations.

· Ability to gather and collect data and build excel reports.

· Ability to multi-task and deliver work project under tight deadlines.

· Flexibility and creativity is valued.

· Ability to maintain confidential and highly sensitive student information.

· Proficiency in MS office: Excel, Word and PowerPoint, and Google applications.

EDUCATION and/or EXPERIENCE

Bachelors’ Degree in Business Administration, Higher Education, Social Science or a related discipline, plus five (5) years of related experience in a business office, government agency or university setting is required.

Experience in Admissions preferred.

Computer literate with familiarity in systems and educational research.

Experience with diverse populations. Record of respect and openness towards people whose social and cultural background is different from one’s own. Ability to recognize and manage one’s behaviors and communication to create an inclusive, equitable, and welcoming environment within the department/organization.
