Clinical Education Staff Assistant

 

TITLE:     Clinical Education Staff Assistant, Physician Assistant Program

DEPARTMENT/PROGRAM:     SOM - Physician Assistant Program (Sewell, NJ)

SUPERVISOR’S TITLE:     Program Director – Physician Assistant Program

 

POSITION SUMMARY

The Clinical Education Staff Assistant will assist the Director of Clinical Education, the Program Director, and the Program Assistant obtaining and filing clinical year documents, participating in correspondence with clinical instructional faculty and students, and coordinating clinical year curricular activities. The staff member will also provide coverage of program duties in the absence of the Program Assistant.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Obtain, organize, and file clinical year instructional faculty and student documents/requirements.
  • Maintain ongoing spreadsheets to track clinical instructional faculty certifications and licenses.
  • Utilize national and state databases to verify instructional faculty certifications and licenses.
  • Coordinate with the Director of Clinical Education to ensure compliance with all requirements from both students and instructional faculty during the clinical year.
  • Correspond with students and all clinical instructional faculty during the clinical year.
  • Coordinate with the Director of Clinical Education and the Program Director all clinical year curriculum needs.
  • Provide additional coverage for the PA program in the absence of the PA Program Assistant.
  • Assist and take minutes for the PA committees in the absence of the PA Program Assistant.
  • Participate in program, college and university-related search committees.
  • Participate in regular faculty meetings, retreats, program, college and university committees, and professional organizations.
  • Participate in community service activities and university outreach.
  • Assist the Program Director, Program Assistant, and Director of Clinical Education in the coordination and production of information related to program accreditation to ensure the ARC-PA Standards are met and maintained.
  • Provide administrative support for the program director, medical director, faculty, and staff.
  • Administrative and other duties and responsibilities as assigned by the Program Director.
  • Proctor and facilitate student examinations.
  • Provides support to Graduate Physician Assistant Program staff, faculty, and students with program-specific software.
  • Acts as the program liaison to University constituents, students, preceptors, and applicants.
  • Maintains confidential student, faculty, and staff personal information.
  • Regularly coordinates meetings and events, including room reservations with 25live, and issuing informative invitations for meetings.
  • Prioritize work, solve problems, and organize time with minimal supervision.
  • Understands and adheres to university policies and compliance standards.
  • Screens phone calls and provides information in accordance with organizational policy.
  • Keeps abreast of all federal, state, and Rowan University regulations, laws, and policies as they presently exist and as they change or are modified.
  • Perform other duties, responsibilities, or special projects as needed for the Graduate Physician Assistant Program.

QUALIFICATIONS

  • Bachelor’s degree preferred. Additional related experience may be substituted for the degree on a year-for-year basis.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Experience in higher education admissions or related field preferred.
  • Must have strong interpersonal skills including good oral and written communication abilities.
  • Must be able to oversee multiple different aspects of the clinical (clerkship) year to ensure compliance with ARC-PA standards.
  • Knowledge and experience with Accreditation Review Commission on Education for the Physician Assistant current standards preferred.
