SUMMARY

Under the supervision of the Campus Director of Student Financial Aid, the Associate Director of Student Financial Aid serves as an administrator of student financial aid for all Virtua Health College and Medicine & Life Sciences (VHC) School of Osteopathic Medicine and the School of Translational Biomedical and Engineering Sciences on the Stratford and Sewell Campuses. The Associate Director ensures compliance with all federal and state regulations governing student aid programs.

This managerial position provides quality service to prospective and current students, requiring effective communication and presentation skills. Programmatic administrative responsibilities require the Associate Director to structure their work and effectively manage their time to successfully accomplish multiple priorities within required deadlines.

ESSENTIAL RESPONSIBILITIES

  • Provides one-on-one counseling to prospective and current students on a variety of financial aid related topics to include completing the FAFSA, additional eligibility requirements, smart borrowing options, student loan repayment, and personal financial wellbeing.
  • Serves as the Student Financial Aid financial literacy specialist. Researches student financial resources and literacy needs; develops curriculum and delivers financial literacy education content and programs; assesses financial literacy partner products and services to provide credible personal money management education to VHC students.
  • Coordinates the overall administration of the VHC Federal Work-Study program, including setting up new positions, liaising with HR to manage hiring and termination processes, tracking available funds, reconciliation of earnings, and ensuring compliance with federal, state, and institutional policies. Provides year-end reconciliation data for FISAP.
  • Provides programmatic responsibility and subject matter expertise for the NJ Graduate EOF grant and HRSA Primary Care and Loans for Disadvantaged Students programs.
  • Reviews and determines the documents required to justify and process Cost of Attendance Appeals.
  • Responsible for the day-to-day oversight of the Return of Title IV Funds process (R2T4).
  • Responsible for all activities related to processing official and unofficial withdrawals.
  • Collaborates with Bursar, Registrar, Academic Affairs, Student Affairs, and Admissions to effectively deliver and facilitate customer service on various enrollment services and campus activities to students. Resolves escalated issues.
  • Assists in the maintenance and updates of the VHC Student Financial Aid Policies and Procedures.
  • Maintains an up-to-date understanding of state, federal, institutional, and COCA legal, fiscal, and statutory regulations pertaining to financial aid and to ensure compliance.
  • Supports the Campus Director in establishing clear and efficient timetables and procedures necessary for the office staff to ensure compliance.
  • Plans, manages, and schedules work to managerial and administrative staff to ensure maximum efficiency.
  • Performs other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

 QUALIFICATIONS

  • Bachelor’s degree. Master’s degree preferred.
  • Three years of increasing responsibility within a university financial aid office.
  • Demonstrated knowledge of the financial aid programs available to students in graduate biomedical sciences and health professions programs, Osteopathic medical students a plus.
  • Diplomatic and polished interpersonal and communication skills include presenting to both large and small groups. Must be comfortable discussing financial matters with graduate students from all socioeconomic backgrounds in a professional and sensitive manner.
  • Strong technology skills with financial aid management software systems including Ellucian Banner and Student Financial Success platforms, Cognos reporting tools, Excel, and various federal aid processing systems.
  • Strong analytical skills with the ability to interpret data and make data-driven decisions.
  • Exceptional communication and people skills, capable of building relationships at all levels.
  • Proven experience in program management, strategic planning, and project execution.
  • Must be able to work both independently and collaboratively with the entire team to successfully perform various projects and financial aid office duties. Must be accustomed to periods of peak processing and successfully balancing multiple priorities. Must be available to work evenings/weekends when necessary, including on short notice in the event of urgent office operations.
  • Ability to travel between campuses on a regular basis.
  • Ability to occasionally travel to and participate in conferences, workshops, and University activities.

 

SALARY

  • In compliance with The State of New Jersey's Pay Transparency Act, the annual base salary range for this position is $75,000-$87,000, with placement within the range determined by candidate's qualifications, professional experience, internal equity, and other factors.
