Operations Coordinator (Program Assistant-AS), CMSRU

Essential Duties and Responsibilities 

Program Support

  • Provide administrative and operational support for the Camden Cancer Research Center as well as current and new programs in Biomedical Sciences
  • Assist with the preparation of materials and meeting program development timelines
  • Schedule and attend program meetings
  • Create, maintain, and manage databases of key success metrics

Event Planning and Coordination

  • Serve on BMS event committees and contribute to planning meetings
  • Organize seminars, symposiums, and retreats for faculty, staff, and students
  • Planning and execution of major BMS events such as the annual retreat, the seminar series, faculty recruitment, and research symposia
  • Coordinate logistics, including agenda development, catering, supplies, and vendor contracts
  • Secure reservations for dinner with speakers and key faculty
  • Process guest speaker travel and miscellaneous expense reimbursements following Rowan University guidelines and policies
  • Occasional evening and weekend event assignments

Supervision of Student Workers and Clerical Staff

  • Assign tasks, provide guidance, and monitor the progress of student workers and part-time clerical staff
  • Ensure timely completion of assigned duties and provide feedback as necessary

Faculty Recruitment

  • Participate in search committees, as needed, for faculty, staff, and managers
  • Enter and maintain PageUp records for new hire faculty
  • Arrange travel and accommodations for candidate visits
  • Work with moving companies to arrange for relocation of new hires; process relocation reimbursements for new hire faculty
  • Prepare Faculty Appointments and Promotions packets; review packets and work with faculty to ensure that all required guidelines established by Rowan University and CMSRU Office of Faculty affairs are met.   
  • Enter and maintain accurate faculty information into Rowan Identity Management System (RIMS)

Forms and Document Management

  • Take, format, and distribute minutes for various department, research, and committee meetings, including the CMSRU Research Committee and the CMSRU Conflict of Interest Committee
  • Prepare research-related materials and presentations utilizing professional writing and formatting skills for the CMSRU quarterly Medical School Board meetings and the Camden Cancer Research Center Board meetings
  • Develop and maintain databases relevant to the research output performance of BMS faculty, publication output, and performance indicators
  • Prepare, organize, and maintain research-related materials for continuous LCME accreditation readiness
  • Develop, maintain, and assist in the implementation of administrative standard operating procedures
  • Create and maintain BMS forms, including laboratory trainee onboarding documents, summer program documentation, and SOPs
  • Maintain a secure, shared database for departmental forms and documentation

Webpage and Online Platform Maintenance

  • Regularly update the BMS webpage
  • Work with Coriell and MD Anderson at Cooper webpage developers to maintain continuity with Camden Cancer Research Center webpages

Department Support

  • Provide support for the Office of the Head/Associate Dean for Research, including email communication, calendar management/meeting requests, travel arrangements, and inquiry responses
  • Coordinate vendor contracts and agreements, ensuring compliance with university procurement policies
  • Establish standard operating procedures (SOPs) for various BMS functions

Qualifications and Skills

  • Bachelor’s degree in a related field preferred, or equivalent work experience
  • Strong organizational, time management, and multitasking abilities
  • Excellent written and verbal communication skills
  • Experience with financial processing, and event planning
  • Ability to handle sensitive and confidential information with discretion
  • Demonstrated ability to work independently in a fast-paced department while maintaining professionalism and confidentiality
  • Exceptional relationship-building skills; must be able to communicate, interact, and work effectively with students, faculty, staff, and all external constituencies
  • Advanced organizational skills and attention to detail; ability to adapt to changing priorities and deadlines
  • Strong project management skills, including coordination and successfully completing multiple projects with competing deadlines
  • Enthusiastic attitude, optimistic, and collaborative
  • Proven expertise in Microsoft Outlook, Word, PowerPoint, and Excel
  • Ability to navigate university electronic resources and outside online assets related to job duties, such as cloud-based services, databases, and other sites linked to job duties

REQUIREMENTS: NOTE: Applicants must meet one of the following or a combination of both experience and education. Thirty (30) semester hour credits are equal to one (1) year of relevant experience.

Four (4) years of professional position-related experience.

OR

Possession of a bachelor's degree from an accredited college or university. OR

Possession of an associate's degree; and two (2) years of professional position-related experience.

NOTE: "Professional experience" refers to work that is analytical, evaluative, and interpretive; requires a range of basic knowledge of the profession's concepts and practices; and is performed with the authority to act and make accurate and informed decisions.

Salary

  • In compliance with The State of New Jersey's Pay Transparency Act, the annual base salary range for this position is CWA: Range 16 ($51,479-$58,462), with placement within the range determined by candidate's qualifications, professional experience, internal equity, and other factors.
  • For internal applicants, salary is determined per the Pay Adjustment formula (NJAC 4A:3-4.9 & 4.10)
