Position Summary: 

This position serves a vital role in supporting the day-to-day office operations of the ASCEND office. ASCEND is seeking a highly motivated and organized individual to join our operations team as to perform diversified clerical duties. This will provide high-level support for program leadership. The position is in constant communication with team-members in the ASCEND office as well campus offices, vendors, and other external stakeholders. The staff member is also responsible for oversight of a number of clerical tasks that support the function of the ASCEND office and its programs and services. The ideal candidate will be a detail-oriented person who is adept at prioritizing responsibilities, passionate about students and customer service, and has a genuine interest in business and the inner workings of opportunity programs.

Essential Duties and Responsibilities:

  • Demonstrate excellent customer service skills to students, parents, and stakeholders.
  • Perform key reception functions, answering phones and greeting visitors to the office: screen calls and visitors to determine nature of request or problem; refer to appropriate staff member or University office; take messages; make appointments; take standard information for billing, administrative or other purposes.
  • Provide office assistance, such as writing and editing emails, drafting memos, preparing meeting agendas and other communications.
  • Maintain comprehensive and accurate business records, documents and reports.
  • Process invoice payments and expense reports.
  • Work organically with all business units across the university ensuring harmony, cohesion and communication.
  • Coordinate with internal and external stakeholders, providing prompt and customer-focused service.
  • Create and maintain student records and electronic database records.
  • Utilize Microsoft Office and Banner to produce reports and documents.
  • Work cooperatively with multiple departments and personnel to support departmental objectives.
  • Coordinate team meetings and trainings.
  • Coordinate the Chi Alpha Epsilon Honor Society induction administrative process.
  • Maintain active student rosters from Banner system and create spreadsheets.
  • Prepare contracts and supporting paperwork for student workers and new hires; enter work assignments/contracts via EPAF and BANNER system; monitor workflow through to payroll/payment of staff;
  • Attend/seek out all needed professional development opportunities as it relates to travel, purchasing, accounts payable and banner processes.
  • Produce correspondence for ASCEND programs and services.
  • Order, track, receive and maintain stock of office and educational supplies.
  • Recruit and supervise student workers.
  • Develop, prepare and conduct student worker training.
  • Assist with compilation of data and the completion of budget and program reports.

  • Language Skills: Ability to communicate effectively and interact tactfully with all levels of the college staff, students, and trustees; read, analyze, and interpret documents, budgets and contracts; and, respond effectively to the most sensitive inquiries or complaints.
  • Reasoning Skills: Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Work Environment: The work environment characteristics described here are representative of those an employee encounters while performing the detailed tasks.

Required Experience

  • One (1) year of experience in general clerical work.

  • Open to current employees who have completed their working test period as of the closing date and meet the required experience listed above.
