The report also contains information about fire statistics in Rowan University Residential Facilities and crime statistics for the three previous calendar years concerning reported crimes that occurred on campus; in certain off-campus buildings or property owned or controlled by the University; and on public property within, or immediately adjacent to and accessible from the campus. This information is required by federal law, Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act or "Clery Act" and is provided by the Rowan University Department of Public Safety.

Rowan University is subject to the residency requirements of the NJ First Act (N.J.S.A. 52:14-7, P.L. 2011, Chapter 70). Job Title:                            Staff Assistant

SUMMARY:  Performs various administrative, computing, data collection, information gathering, data maintenance, and support services within the Department of Academic Affairs. Under direction from the Vice Dean and the Assistant Dean of Academic Affairs and Accreditation, assists in the planning and support of program activities and special projects for the department. The incumbent is responsible for the coordination of office operations within the department.


Develops and implements varied work assignments under the direction of the Vice Dean and the Assistant Dean of Academic Affairs and Accreditation.

Under the direction of the Vice Dean and Assistant Dean of Academic Affairs and Accreditation, supervises production of Medical Student Performance Evaluation (MSPE or Dean's Letters) distributes/ collects related authorization forms for students, interfaces with students regarding questions and concerns, and responds to special requests.

Generates and maintains special reports for the Vice Dean and the Assistant Dean of Academic Affairs and Accreditation regarding matters related to the residency match.

Responsible for coordinating Alumni requests for MSPEs for residency and fellowship. Uploads electronic documents in MIDUS through the Electronic Document Fellowship Office (EFDO). Handles inquiries and provides status updates.

Assists the Assistant Dean of Academic Affairs and Accreditation in annual budget preparation and ongoing financial review. Maintains or assists in maintaining department accounts, monitoring expenditures, and ensuring compliance with budgets, processes purchase orders, check requests, invoices, and travel expenses.

Maintains essential and confidential records and assists in maintaining all activity files.

Coordinates projects or assignments for the Commission on Osteopathic College Accreditation (COCA) for the Assistant Dean of Academic Affairs and Accreditation.

Assists in the preparation of seminars and programs for faculty and students.

Responsible for writing/editing updates to the Educational Handbook and Rowan Academic Affairs webpage as needed.

Handles correspondence, makes appointments and coordinates schedules and files. Coordinates and schedules meetings and travel for Assistant Dean of Academic Affairs and Accreditation.

Assists with exam proctoring and coordinating other proctors as needed.

Responsible for correspondence, reports, and recommendations of a confidential nature.

Coordinates coverage for the front reception area and provides cross-coverage as needed.

Evaluates office procedures, establishes standards and recommends and implements new or modified procedures as needed.

Understands and adheres to Rowan's compliance standards as they appear in Rowan's Corporate Compliance Policy, Code of Conduct, and Conflict of Interest Policy.

Keeps abreast of all pertinent federal, state, and University regulations, laws, and policies as they presently exist and as they change or are modified.

Performs other duties as assigned.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: Bachelor's Degree in Liberal Arts, Public or Business Administration, the Social Sciences, or a related field is strongly preferred. Applicants lacking the degree may substitute appropriate related experience on a year-to-year basis. Minimum (3) years of related medical school experience is preferred. Experience with software packages required (Microsoft Word and Excel preferred). Knowledge of Banner preferred. Demonstrated high level of interpersonal skills essential.

Experience with diverse populations, awareness of one’s own attitudes, beliefs, biases, and assumptions about others and a record of respect and openness towards people whose social and cultural background is different from one’s own is a plus for this position. Candidates should have the ability to recognize and manage one’s behaviors and communications to create an inclusive, equitable, and welcoming environment within the department/organization.
