SUMMARY: 

Performs a wide variety of administrative duties for all academic commitments for the Department of NMI and its Course Directors. Additionally serves as support for a variety of administrative components for the Chairman and Vice Chairman of the Department of NMI.

 ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

 Responsible for the following related to all NMI Predoctoral student courses:

  • Main point of contact for students for the department, via phone, email, or face to face. Point of contact for students associated with assigned courses via phone, email, video conference, or scheduled face to face meeting.
  • Handles and resolves student complaints and inquiries in a timely manner.
  • Records necessary details of student inquiries, comments and complaints as well as the actions taken to address them.
  • Directs requests and unresolved issues to the appropriate resource
  • Maintains essential records for assigned courses, current and prior as required.
  • Plans student calendar for all NMI courses as required by the course directors.
  • Creates clerkship preceptor assignments.
  • Maintains all relevant software including Canvas, Examsoft, and one45 with student material based on course schedule and needs.
  • Communicates schedule changes to students and Academic Affairs.
  • Reserves rooms and other resources as needed for coursework.
  • Manages student grades in a timely and accurate manner, including coordinating and tracking student remediation.
  • Serves as liaison between course directors and internal departments. I.E. OMM, Ethics, SP lab, Grants, etc.
  • Communicates with all preceptors, lecturers, residents regarding schedules, changes, materials, etc.
  • Builds and maintains preceptorship sessions through monitoring of internal office schedules.
  • Attends meetings as required.
  • Prepares Meeting Agendas as needed.
  • Supports NMI Faculty for Osteopathic Recognition.
  • Exercises discretion, applies informed independent judgment to help course directors best manage their time.
  • Serves as liaison between students and faculty.
  • Screens calls and provides information in accordance with organizational policy.  Receives and appropriately handles incoming correspondence, makes appointments, schedules meetings, and responds to inquiries.
  • Undertakes routine writing and editing assignments; generates correspondence for signature; maintains mailing lists.
  • Assists in maintaining department accounts, monitoring expenditures and ensuring compliance with budgets on an as needed basis.
  • Assists with maintaining the office supplies and places orders as needed.
  • Assists with processing purchases orders as needed or requested.
  • Understands and adheres to Rowan's compliance standards as they appear in Rowan's Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.
  • Keeps abreast of all federal, state and Rowan regulations, laws and policies as they presently exist and as they change or are modified.
  • Performs other duties as assigned.

EDUCATION and/or EXPERIENCE: 

Bachelor’s Degree preferred. Must be proficient in computer applications as required by the department (i.e. Excel, Word, and PowerPoint, Google Docs). Demonstrated proficiency in prioritizing, managing simultaneous projects and successfully meeting deadlines.  Demonstrated ability to be a team player who works well and can adapt to a fast-paced and sometimes changing environment.  Equivalent education, experience and/or training may be substituted for the degree requirement.
