Director of Administration, Office of the Provost

Position Summary:

This pivotal role serves as the trusted administrative manager to the Executive Vice-Chancellor and Provost of Rowan University, providing critical administrative leadership to the many Colleges, Schools, Departments, and Programs under their charge.

The Office of the Provost works to advance the mission of Rowan University by providing academic excellence in learning environments, ensuring optimal student support and service, and upholding a commitment to the regional community at large.

Therefore, this role must exemplify these values as it will represent the Provost to the numerous colleagues, supporters, and other stakeholders throughout the University Community.

This role requires a level of interpersonal skills that meaningfully engage the University’s diverse leaders, alumni, students, volunteers, and faculty in a manner that generates excitement, inspires action, deepens commitment, and increases support. This takes an ability to strategically and effectively navigate within a multifaceted organizational environment while acting as a collaborative team member who thrives in a workplace that values academic rigor, diversity, creativity, innovation, and a “let’s figure it out and get it done” spirit.

Core Responsibilities:

  • Collaborate closely with Rowan’s academic leadership teams and University executives to manage the Provost’s operations.
  • Oversee high-level administrative processes, including the improvement of procedures and policies.
  • Serve as the face of the Provost’s office for the Board of Trustees and other internal and external stakeholders, fostering relationships across campus to support the Provost’s priorities.
  • Priority and Resource Management – Maintain and organize the Provost’s time and attention effectively by coordinating a high volume of internal and external commitments that include meetings with the University President and Chancellor, senior leadership, deans, departmental leaders, staff and external contacts.
  • Communication – Manage and respond to incoming calls, emails, and correspondence, often serving as a primary point of contact for the Provost. Draft, edit, and proofread documents, presentations, and correspondence as needed. Assist in the preparation and distribution of internal communications.
  • Administrative Leadership – Oversee coordination of staffing and budgeting in collaboration with other members of the Provost Office to optimize proficiencies and compliance.  Serve as an escalation point for Provost Office personnel when needed to ensure timely project success.  Ensure the office environment is organized, clean, and reflects positively on the Provost.
  • Additional duties include:
    • Assist with recruiting and on-boarding of newly hired personnel reporting to the Provost.
    • Proof letters and other documents requiring the Provost’s signature.
    • Attend certain events and other functions and activities occurring at night/weekends when necessary.
    • Other duties as assigned.

Qualifications:

Required competencies:

  • Bachelor’s degree required
  • Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with enterprise-wide systems (e.g., Banner Finance, CRM, database management).
  • Proficiency with electronic signature solutions such as Adobe Sign and DocuSign.
  • Aptitude for learning new software and systems.

Professional interpersonal abilities:

  • Excellent “soft skills” and the ability to communicate effectively both in writing and verbally.
  • Exceptional customer service and student-first mindset, judgment, and creative problem-solving skills.
  • Impeccable organizational skills with the ability to multitask, react, and succeed in a priority-driven work environment.
  • Strong attention to detail, accuracy, and follow-up skills.
  • Adaptability and ability to continually reprioritize and meet required deadlines.
  • Strong knowledge of office management systems and procedures.
  • Strong interpersonal skills and a positive, upbeat, and professional personality capable of effective interaction with faculty, staff, leadership, board members, business leaders and donors.

Schedule: Full-time, Monday–Friday with evening and weekend flexibility required; in-person or remote work options considered in accordance with University policy and role responsibilities.

Salary & Benefits:

  • In compliance with The State of New Jersey's Pay Transparency Act, the annual base salary range for this position is $98,000 to $110,000. When extending any salary offer, Rowan University considers many factors such as (but not limited to) scope and responsibilities of the position, work experience, education, training, key skills, internal equity, as well as market and other organizational considerations.

  • For eligible employees, benefits include comprehensive NJ State health, dental and retirement benefits, extensive accrued time off/paid holidays, and tuition reimbursement for employee, spouse, and dependents to attend Rowan University, Glassboro. (Tuition reimbursement will apply to undergraduate degrees only for spouse and dependents).
