SUMMARY
Performs a wide variety of administrative and support services for the School of Osteopathic Medicine and Physician’s Assistant Program Admissions Office to maximize efficient workflow. Assists in the planning and support of program activities. Assists in coordinating office operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Responsible for providing administrative, analytical, computing and staff support for the department. Executes assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, data base maintenance, and forms and graphics generation utilizing a variety of software packages.
Assists with managing prospective student applications in the admissions application management software program, (AMP) and the primary application management software program, WebAdmit. Enters admissions decision codes in AMP, WebAdmit and Banner.
Assists with preparing the Admissions interview schedule, including coordinating applicant interview times, and supporting the hosting of admissions interviews.
Screens calls and provides information in accordance with organizational policy. Assists with front desk coverage. Receives and appropriately handles incoming correspondence, makes appointments, schedules meetings, and responds to inquiries from prospective students and University staff.
Develops and implements controls for work assignments under the direction of the Assistant Dean for Admissions.
Maintains essential records and assists in the maintenance of all activity files.
Prepares and/or compiles data for special reports and analyses, monthly reports, program evaluations, and other related reports within prescribed guidelines.
Undertakes routine writing and editing assignments; generates correspondence for signature; maintains mailing lists.
Maintains or assists in maintaining department accounts, monitoring expenditures and ensuring compliance with budgets.
Coordinates and maintains the Admissions department calendar, exercising discretion and informed judgment to effectively manage the Assistant Dean’s schedule. Responsibilities include serving as liaison with other departments when scheduling meetings, arranging travel, preparing meeting agendas, and ensuring efficient use of the Assistant Dean’s time.
Assists in reviewing office procedures, help establish standards, and support the recommendation and implementation of updated processes as needed.
Serves as a liaison between the department and other administrative units such as Purchasing, Accounts Payable, Human Resources and Information Services and Technology.
Understands and adheres to Rowan’s compliance standards as they appear in the Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.
Keeps abreast of all federal, state and University regulations, laws and policies as they presently exist and as they change or are modified.
Performs other duties as assigned.
QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:
Bachelor’s Degree in Liberal Arts, Public or Business Administration, the Social Sciences or a related field, plus one (1) year of professional level experience in a business office, government agency, or university setting. Additional related experience may be substituted for the degree on a year-for-year basis.
Salary/Benefits:
- In compliance with The State of New Jersey's Pay Transparency Act, the annual base salary range for this position is $48,509.15 to $ 58,004.88, with placement within the range determined by candidate's qualifications, professional experience, internal equity, and other factors."
