This position is open to full-time Rowan University employees only.
Summary:
This position supports multiple units of the Registrar’s Office, requiring comprehensive knowledge of the functions of the various units, including but not limited to records and registration, hardship processing and grade changes. The individual will be an integral contributor to the various automation and process improvement projects. In all roles, the individual will support and inform new and continuing students and their families as well as faculty and other University partners in person, on the phone, and via email.
 
Primary Duties/Responsibilities:
Records and Registration Duties
  • Provide assistance and backup for all Registrar functions including drop/add/withdrawal, change of personal data requests, enrollment verifications, transcript requests, etc.
  • Provide frontline customer service (phones, emails, in-person requests).
  • Maintain proficiency in over 30 Ellucian Banner forms (screens) that relate to Student Data, Student
  • Status (active, non-matriculated, stopped out, leave of absence, minor) Residency, Registration functions, Class Lists, Faculty Grading, etc. Populate, modify, edit and delete information based on Registrar best practices.
  • Troubleshoot student issues with Athletics, Bursar, Financial Aid and Information Services. Utilize critical thinking skills to research students to determine why they can’t access their account, why their bill is not correct, etc. based on expert knowledge and the queries of our partner offices.
  • Manage change of grade function by faculty requests, processing the change on the student’s record and documenting the request.
  • Sort incoming emails in the Registrar-Records inbox throughout the day, interpreting requests and assigning responsibility within the department and to partner offices.
  • Reply to email in multiple inboxes, phone and in-person student/parent/alumni inquiries.
  • Maintain cross departmental knowledge of Bursar, Financial Aid, Admissions, and Athletics functions by maintaining close communication with those departments updating documentation and Registrar Office staff.
  • Respond to background checks (from government agencies and others) and requests for verification from employers, insurance carriers and family members by explaining FERPA, the Family Educational Rights and Privacy Act, evaluating requests, and fulfilling them if deemed within the law. Includes educating on the tenets of FERPA and advising on next steps. Often must solicit the student through phone or email to inform of requests and provide advice based on the law.
  • Provide information and documentation for University legal counsel when required.
Hardship Processing:
  • Manage hardship process, reviewing recommendations, consulting Bursar, Financial Aid and Dean of Students’ offices, updating course records and notifying all relevant departments.
Budget Duties:
  • Manage department budget, including reconciling expenses, monitoring, reconciling and redistributing funds in revenue accounts for operations; placing all orders, evaluating vendors, reviewing phone and copier usage, and processing end of year reports.
Project Administration and Support:
  • Actively contribute to current, ongoing, future and prospective Registrar projects to automate processes and improve service to students as the University continues to grow and serve more students.
Communication & Other Responsibilities:
  • Understand, implement, and properly communicate Registrar policy and process.
  • Understand and comply with University, Registrar, ADA, FERPA, and other rules and regulations that affect processing and service.
  • Coordinate with the appropriate units within the Office of the Registrar as well as outside partners.
  • Assist with other projects as needed.

Preferred Skills:

  • Previous experience in higher education administration.
  • Experience with the Ellucian/Banner Student Information System.
  • Extreme attention to detail.
  • Comfortable learning new skills and new technology and ease using electronic tools and reports .
  • Ability to successfully problem-solve and manage multiple priorities and deadlines in a fast-paced environment.

  • Working knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, OneNote and Outlook.

Requirements:

  • Graduation from an accredited college or university with a bachelor’s degree or equivalent work experience
REQUIREMENTS:

NOTE: Applicants must meet one of the following or a combination of both experience and education. Thirty (30) semester hour credits are equal to one (1) year of relevant experience.

Six (6) years of professional experience in different aspects of administration and business practices; including design and implementation of policy and procedures, vendor service contracts and improving and updating management practices.

OR

Possession of a bachelor's degree from an accredited college or university; and two (2) years of the above-mentioned professional experience.

OR

Possession of a master's degree; and one (1) year of the above-mentioned professional experience.

NOTE: "Professional experience" refers to work that is creative, analytical, evaluative, and interpretive; requires a range and depth of specialized knowledge of the profession's principles, concepts, theories, and practices; and is performed with the authority to act according to one's own judgment and make accurate and informed decisions.

Salary & Benefits:

  • In compliance with The State of New Jersey's Pay Transparency Act, the annual base salary range for this position is CWA: Range 21, with placement within the range determined by candidate's qualifications, professional experience, internal equity, and other factors.
  • For internal applicants, salary is determined per the Pay Adjustment formula (NJAC 4A:3-4.9 & 4.10)
  • For eligible employees, benefits include: comprehensive NJ State health, dental and retirement benefits, extensive accrued time off/paid holidays, and tuition reimbursement for employee, spouse, and dependents to attend Rowan University, Glassboro. (Tuition reimbursement will apply to undergraduate degrees only for spouse and dependents).
