Job Title:              Staff Assistant

SUMMARY

Rowan-Virtua SOM is search for a dedicated employee to join their team as a staff assistant. This position serves as the primary administrative support for the Office of Student Affairs with a focus on the Sewell Campus. They will be responsible for performing a wide variety of administrative and support services to maximize efficient workflow. Assists in the planning and implementation of program activities, including assisting in coordinating campus events and programs supporting both SOM and Physician Assistant (PA) Program students. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides administrative support to the Student Affairs Division of Academic Affairs & Student Services, including calendar management, travel arrangements, copying/collating, etc. as needed.
  • Provides support for the SOM Connections Network, including maintaining the database of physician advisors, matching students and conducting annual recruitment and outreach.
  • Provides office coverage, greeting and directing all visitors.
  • Answers calls, takes messages and provides information in accordance with the organizational policy.
  • Assists with official correspondence with students.
  • Supporting the purchasing, tracking, and inventory for SOM food insecurity resources.
  • Prepares and/or compiles special reports, monthly reports, meeting minutes, and other related reports within prescribed guidelines.
  • Assists Student Affairs team in planning, executing, and staffing signature events for new students.
  • Assists with the coordination and scheduling of student organization events, with a focus on the Sewell campus.
  • Assists with the execution of medical student health, vision, and dental insurance plans.
  • Work with the Assistant Dean and class leaders to support the administration and collection of student ballots and survey instruments, ensuring accuracy and confidentiality.
  • Working with the Associate Director and Program Coordinator, assist with the planning for wellness programs and events.
  • Keeps abreast of all federal, state, and Rowan University regulations, laws, and policies as they presently exist and as they change or are modified.
  • Maintains essential records as needed.
  • Performs other duties as assigned.

EDUCATION and EXPERIENCE

Bachelor’s Degree in liberal arts, public or business administration, the social sciences, or a related field, plus one (1) year of professional level experience in a business office, government agency, or university setting.

Individual must possess strong interpersonal, writing, and organization skills and have the ability to perform assigned tasks with minimal supervision. Experience with diverse populations.

Awareness of own attitudes, beliefs, biases, and assumptions about others. Record of respect and openness towards people whose social and cultural background is different from one’s own.

Ability to recognize and manage one’s behaviors and communication to create an inclusive, equitable, and welcoming environment within the department/organization.

Advanced knowledge of Microsoft Excel, Word, and PowerPoint is required as well as the capacity to learn required university software programs and systems.

Salary/Benefits:

  • In compliance with The State of New Jersey's Pay Transparency Act, the annual base salary range for this position is $52,728.33 to $ $54,840.49, with placement within the range determined by candidate's qualifications, professional experience, internal equity, and other factors."
  • For eligible employees, benefits include: comprehensive NJ State health, dental and retirement benefits, extensive accrued time off/paid holidays, and tuition reimbursement for employee, spouse, and dependents to attend Rowan University, Glassboro.
