SUMMARY

Rowan-Virtua SOM is searching for a dedicated employee to join their team as a staff assistant. This position will serve as the primary administrative support for the Office of Student Affairs and Alumni Engagement, which serves the Stratford and Sewell campuses. They will be required to perform a wide variety of administrative and support services to maximize efficient workflow, including assisting in the planning and implementation of student programs and activities, coordinating and supporting campus events and programs, working with campus partners, and helping to manage efforts to address food insecurity among students.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Oversee student organization event requests for approval through University Events and provide planning guidelines for both the Stratford and Sewell campuses, ensuring compliance with university policies and deadlines. This includes room reservations and correspondence with University Events, University support services, food services and student leaders.
  • Serve as the primary point of contact at the front desk for the Office of Student Affairs and Alumni Engagement to welcome students and visitors and provide professional administrative support as needed.
  • Provides administrative support to the Student Affairs Division of Academic Affairs & Student Services, including calendar management, scheduling, meeting logistics, travel arrangements, copying/collating, etc. as needed.
  • Assist in the implementation and administration of programs that support School of Osteopathic Medicine (SOM) students experiencing food insecurity, including program coordination and resource distribution.
  • Update and maintain leadership lists for all student organizations to support communication, compliance, and organizational continuity.
  • Assists Student Affairs team in planning, executing, and staffing signature events for SOM students.
  • Supports the coordination of student organization events, collections, and sales, as needed.
  • Provides support as needed for Sewell Campus events and programs.
  • Manage the Student Club Storage Closets and ensure compliance with student guidelines.
  • Assist with the coordination of the sales, distribution, and inventory tracking of student white coats and medical kits.
  • Prepares and/or compiles special reports, meeting minutes, and other related reports within prescribed guidelines.
  • Provides timely and accurate responses to student, alumni, staff and faculty inquiries.
  • As needed, assist with official student correspondence. Maintains essential records as needed.
  • Keeps abreast of all federal, state, and Rowan University regulations, laws, and policies as they presently exist and as they change or are modified.
  • Performs other duties as assigned. 

QUALIFICATIONS

EDUCATION and EXPERIENCE

Bachelor’s degree in liberal arts, public or business administration, social sciences, or a related field, plus one (1) year of professional level experience in a business office, government agency, or university setting.

Applicants must possess strong interpersonal, writing, and organization skills and have the ability to perform assigned tasks with minimal supervision. Experience working with student populations is preferred.

Advanced knowledge of Microsoft Excel, Word, and PowerPoint and the Google platform is required as well as the capacity to learn required university software programs and systems.

The candidate for this position will be expected to travel regularly between campuses to support food insecurity initiatives and, on occasion, to support Student Affairs programs (mileage reimbursed).

Awareness of own attitudes, beliefs, biases, and assumptions about others; respect and openness towards people whose social and cultural background is different from one’s own.

Ability to recognize and manage one’s behaviors and communication to create an inclusive, equitable, and welcoming environment within the department/organization.

SALARY INFORMATION 
  • In compliance with The State of New Jersey's Pay Transparency Act, the annual base salary range for this position is $50,000-$54,573.83, with placement within the range determined by candidate's qualifications, professional experience, internal equity, and other factors.
