SUMMARY
Rowan University is hiring a Leave Administrator to work on and administer all aspects of employee leaves of absence. This role serves as the central resource for faculty and staff navigating medical leave, family-related absences, and workplace injuries. The position requires a strong understanding of federal and state regulations, university policies, and leave administration procedures. The successful candidate will ensure compliance, maintain accurate records, and coordinate with internal departments to support operational efficiency.

PRIMARY ACCOUNTABILITIES

Employee Leave Administration
• Administer all types of employee leaves including FMLA, medical leaves, personal leaves, parental leave, and workplace injuries
• Process and track leave requests from start to finish, making sure employees understand their options and obligations
• Determine eligibility for various leave programs and calculate available leave time
• Coordinate leave paperwork and communicate timelines, required documentation, and next steps to employees and supervisors Compliance and Administration
• Ensure full compliance with FMLA, ADA, NJ Family Leave Act, NJ Temporary Disability Insurance, and other federal and state leave laws
• Partner with NJ State Workers' Compensation and Rowan’s Health and Safety Department to manage work-related injury claims and return-to-work processes
• Maintain accurate records and documentation for all leaves in accordance with legal requirements
• Track key dates and send required notices to employees throughout their leave Benefits Coordination
• Work with the benefits team to ensure smooth continuation or suspension of health insurance and other benefits during leaves
• Explain how different leave types affect pay, benefits, and job protection
• Coordinate short-term and long-term disability claims with insurance carriers
• Process NJ Temporary Disability Insurance claims and assist employees with state paperwork

Communication and Support
• Serve as the primary contact for employees and managers with questions about leave policies and procedures
• Provide clear guidance on leave rights and responsibilities in plain language
• Collaborate with HR partners, payroll, and legal counsel on complex leave situations
• Handle sensitive employee situations with discretion and empathy

Process and Reporting
• Generate reports on leave usage, trends, and compliance metrics
• Identify opportunities to improve leave processes and employee experience
• Maintain the leave management system and employee files
• Stay current on changing leave laws and update policies and procedures accordingly

EDUCATION AND EXPERIENCE
Preferred:
• Bachelor's degree or equivalent combination of education and experience
• 3+ years of experience administering employee leaves, preferably in higher education or a complex organization
• Strong knowledge of FMLA, ADA, New Jersey state leave laws, and disability programs
• Experience with Workers' Compensation claim administration
• Excellent attention to detail and ability to manage multiple cases simultaneously

REQUIREMENTS:

NOTE: Applicants must meet one of the following or a combination of both experience and education. Thirty (30) semester hour credits are equal to one (1) year of relevant experience.

Six (6) years of professional experience in different aspects of administration and business practices; including design and implementation of policy and procedures, vendor service contracts and improving and updating management practices.

OR

Possession of a bachelor's degree from an accredited college or university; and two (2) years of the above-mentioned professional experience.

OR

Possession of a master's degree; and one (1) year of the above-mentioned professional experience.

NOTE: "Professional experience" refers to work that is creative, analytical, evaluative, and interpretive; requires a range and depth of specialized knowledge of the profession's principles, concepts, theories, and practices; and is performed with the authority to act according to one's own judgment and make accurate and informed decisions.

SALARY & BENEFITS:

  • In compliance with The State of New Jersey's Pay Transparency Act, the annual base salary range for this position is CWA: Range 21 (Step 1: $64,340 to Step 4: $73,256), with placement within the range determined by candidate's qualifications, professional experience, internal equity, and other factors.
  • For eligible employees, benefits include: comprehensive NJ State health, dental and retirement benefits, extensive accrued time off/paid holidays, and tuition reimbursement for employee, spouse, and dependents to attend Rowan University, Glassboro. (Tuition reimbursement will apply to undergraduate degrees only for spouse and dependents).
