Rowan University is subject to the residency requirements of the NJ First Act (N.J.S.A. 52:14-7, P.L. 2011, Chapter 70). SUMMARY

Performs a wide variety of administrative and program support services within the Graduate School of Biomedical Sciences (GSBS). Assists in the planning and support of program activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Responsible for providing administrative, analytical, computing and staff support for the GSBS. Executes assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, data base maintenance, and forms and graphics generation utilizing a variety of software packages.
  • Screens calls and provides information in accordance with organizational policy. Receives and appropriately handles incoming correspondence, makes appointments, schedules meetings, and responds to inquiries.
  • Coordinates all student club activities and events, including scheduling all classrooms via 25Live. Manages all student club finances.
  • Manage GSBS marketing needs with the RowanSOM marketing department and GSBS committees to recreate, update and improve marketing materials and strategies. Assist in maintaining an active social media presence to communicate information to current and prospective students and external audience.
  • Schedule both internal and external recruiting events including schedule creation, registration and attendance.
  • Active recruiter on behalf of the GSBS. Coordinate visits with targeted student groups (i.e. Biology Club, Biochemistry Club, Neuroscience Club, Pre-Med Club) at local undergraduate colleges to tell them about the variety of GSBS programs available. Assist GSBS faculty members to coordinate visits to their current PhD student’s alma maters for recruitment purposes. Attend local recruitment events as needed.
  • Coordinate career services for Ph.D., Master and Certificate students. Organize and invite alumni and outside speakers to participate in the Professional Development Workshops (PhD) and Career Panels (Masters) to share how our GSBS degree helped them in their current career path.
  • Transcribe minutes from GSBS Executive Council and GSBS General Faculty Meetings. Undertake routine writing and editing assignments; generate correspondence for signature; maintain mailing lists.
  • Create and maintain the GSBS Google calendar of events including GSBS Executive Council Meetings, GSBS General Faculty Meeting, GSBS Fall Research Retreat, Stratford Campus Research Day, and Professional Development Workshops (PhD) and Career Panels (Masters).
  • ExamSoft coordinator creates, edits, and posts exams online as well as generates grade reports once exams are complete.
  • Echo360 recording coordinator works with academic technology personnel to schedule recorded lectures into Canvas learning system for all GSBS courses.
  • Online course evaluations using Qualtrics. Create, distribute, monitor completion, collate, and disseminate to appropriate committees.
  • Assist maintaining GSBS website using Cascade, when necessary.
  • Maintain essential records and assist in the maintenance of all activity files. Utilize Google drive to maintain google forms and create summary files.
  • Prepare and/or compile data for special reports and analyses, monthly reports, program evaluations, and other related reports within prescribed guidelines.
  • Exercising discretion, applies informed independent judgment to help manage the Senior Associate Dean and Director’s time.
  • Evaluate office procedures, establish standards, and recommend and implement new or modified procedures as needed.
  • Serve as a liaison between the GSBS and other administrative units such as Purchasing, Accounts Payable, Financial Aid, Human Resources and Information Resources and Technology.
  • Understands and adheres to Rowan’s compliance standards as they appear in RowanSOM’s Compliance Policy, Code of Conduct and Conflict of Interest Policy.
  • Performs other duties as assigned

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Associate's Degree plus two (2) years of administrative/secretarial experience. Expertise in Microsoft Office (Word, Excel, and PowerPoint) is required. Knowledge of Banner, Google and Cascade is highly recommended. Additional related experience may be substituted for the degree on a year-for-year basis

Candidates must be legally authorized to work in the US, and the university will not sponsor an applicant for a work visa for this position.

SALARY:  Minimum is $22.86/hr.
